Fitzwilliam Town Library Board of Trustees
3 February 2020

Present: Dick Goettle, Beth Lorenz, Ann McEntee, Trish Toomey, Pam Troccia and Library Director Kate Thomas

Beth Lorenz called the meeting to order at 5:48 PM in the Quick Meeting Room of the Library.

The Trustees reviewed and signed the Library Manifest and Spending-to-Date Expense Report.

The minutes of the January 6th meeting were reviewed; Ann McEntee put forth a motion, seconded by Dick Goettle, to approve them as submitted.  Motion passed.

Kate Thomas presented her monthly report: 210 people attended 29 programs, total library attendance for the month of January was 1068, and January circulation was down 10% compared to January 2019. She also presented a table of circulation figures based upon the type of material checked out and two graphs referencing programs and circulation per capita for Fitzwilliam and neighboring communities. A brief discussion ensued.

Building and grounds: Beth will contact John Fitzwilliam to confirm design guidelines prior to the front porch bid acquisition. Pam Troccia stated that Selectman Charlie Baker has prepared the pickets for the new fence. Trish Toomey asked about the process of bid acquisition, which led to a brief discussion about funding sources for the 2020 capital improvements.

Dick explained that in preparing the Treasurer’s Report for the Township, some of the pertinent information was unavailable at the end of the calendar year. He will update that report and deliver it to Debbie Favreau, Town Administrator.

Locke Collection: Beth informed the trustees that the Moose Grant Letter of Intent is due in May. This NH-funded grant provides monies to preserve artifacts (up to $10,000). Such a grant would be used to purchase new display cases. After fruitful discussion, it was agreed to begin displaying the Collection’s smaller items this summer in cases purchased last year.

The trustees agreed to create a folder of duties and responsibilities. Dick offered to set up an electronic drop box for such documents.

The trustees recently received information from the NH Library Trustee Association regarding the need to keep a Library Safety Policy on file. Kate contacted Debbie Favreau electronically to determine the whereabouts of the Town’s Safety Policy. Debbie has yet to respond, so Kate will reach out again.

Next meeting: Monday, March 2nd @ 5:45 PM.

Ann put forth a motion to adjourn the meeting, seconded by Pam. Meeting adjourned at 6:59 PM.
