Trustee Minutes – September 6, 2011

Present: Barbara Green, Richard Mays, Nick Noyes, Maggie Brogdon and Susan Massin

  • We approved the Aug 1, 2011 minutes which will now be posted on the library web site.
  • Building Issues – Susan has arranged for 10 to 15 hours of work to be done on fall cleanup of the gardens. Richard has found a replacement for the front security light. Nick is investigating bulbs for the spotlights in the upstairs. Nick agreed to check the dripping faucet in the bathroom. There are branches that need to be trimmed away from the emergency exit.
  • Book Drop – Susan reported that of the 10 libraries at the Nubanusit Coop meeting, 7 of them have inside
    book drops and 3 have outside drops (Keene, Greenfield and Jaffrey). Keene’s negative comments were that staff must be scheduled for holidays because of overflow and also prospective employees must be tested on pulling the cart inside. Greenfield mentioned that the lock has frozen and Jaffrey has had snow and stones dropped in. Both Greenfield and Jaffrey carry the books in by the armful. The other libraries were happy with their inside drops. For these reasons we decided not to pursue getting an outside book drop.
  • Upstairs Cleaning Project – Progress is being made in sorting and organizing. We are waiting the report from Kerry Shrives before acting on the paintings and china.
  • Library Policies – We reviewed and revised the meeting room policy. We reviewed and revised the art show policy and application procedure. Susan will post the revised policies on the library’s web site.
  • Town 250 Celebration – We will look into having appropriate programs at the library during the celebration.
  • Book Sale – Sat, Sept 17. Richard will help with set up. Nick and Maggie are scheduled as cashiers.
  • Conferences & Workshops – Susan will attend the NELA conference. Kathleen is going to attend a conference in Concord. Richard moved and Nick seconded a motion that we pay Kathleen’s expenses to attend the conference. The motion was approved. Susan and Kathleen are going to attend a meeting in Keene on the future of the online databases. Susan and Kathleen hope to offer an evening training for Fitzwilliam patrons who would like to learn how to download materials from the NH site and how to use the databases.
  • Discussion of library card fees for non-residents was postponed until the October budget meeting.
  • The trustees signed the manifest and the meeting was adjourned at 7:20 PM.
  • The next meeting will be Mon, Oct 10th at 6 PM.
